Privacy Policy

This policy explains how Hello Sniff collects, uses, and protects data needed to operate the Service, including optional SMS notifications.

1. What Data We Collect

When you create an account, we collect your name, email address, business name, and chosen subdomain. When you use the Service, we collect the data you and your staff enter — including customer information, dog records, bookings, invoices, messages, and documents.

If you choose to receive text message notifications, we collect and use your mobile phone number, contact preferences, and message delivery status to send and manage those notifications.

We also collect basic usage data such as page views, feature usage patterns, and browser/device type. This data is used in aggregate to improve the Service and is never sold.

2. How We Use Your Data

We use your data to:

  • Provide and operate the Service
  • Process billing and subscription management
  • Send transactional emails (welcome, password reset, trial reminders)
  • Send optional transactional SMS notifications when a user has opted in to text messages
  • Respond to support requests
  • Improve the Service based on aggregate usage patterns

We do not sell your data to third parties. We do not use your business data for advertising. We do not mine your customer data.

3. Third-Party Services

We use a limited set of third-party services to operate Hello Sniff:

  • Stripe — for payment processing. You connect your own Stripe account. We do not see or store your customers’ credit card numbers.
  • Email service (Resend) — for transactional emails such as welcome messages, password resets, and trial reminders.
  • Twilio — for optional transactional SMS notifications such as staff messages, schedule updates, booking reminders, billing notices, and urgent operational notices.
  • Hosting provider — for serving the application and storing data. All data is encrypted at rest and in transit.

We do not use third-party advertising networks or share data with data brokers.

4. SMS Privacy and Opt-Out

SMS notifications are optional. Message frequency varies based on account activity and messages from the business using Hello Sniff. Message and data rates may apply. You can opt out of SMS notifications from your account preferences or by replying STOP where supported by the messaging provider. Reply HELP for help where supported.

We do not sell mobile phone numbers or SMS opt-in data. We do not share SMS opt-in consent or phone numbers with third parties for their marketing or promotional purposes. We may share this information with service providers, such as Twilio, only as needed to deliver and manage the text messages you requested.

All data-sharing categories in this policy exclude text messaging originator opt-in data and consent. SMS opt-in data and consent will not be shared with any third party or affiliate for marketing or promotional purposes.

5. Tenant Data Isolation

Hello Sniff is a multi-tenant platform. Each business’s data is logically isolated. Staff from one business cannot access another business’s data. Your customers’ data is only accessible to authorized users within your business.

6. Data Export and Portability

You may export your data at any time using the built-in export features. We believe your data is yours and we do not impose lock-in. If you decide to leave, you can take all your data with you.

7. Data Retention

Your data is retained for as long as your account is active. If you cancel your subscription, your data is preserved in read-only mode for 60 days. After 60 days of inactivity with no active subscription, data is permanently deleted.

You will receive notice before any data deletion, including an opportunity to reactivate your account or export your data.

8. Security

We protect your data with industry-standard security practices:

  • All data is encrypted in transit (HTTPS/TLS)
  • All data is encrypted at rest
  • Passwords are hashed using secure one-way algorithms
  • Access controls enforce the principle of least privilege
  • Regular security reviews and dependency updates

9. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Request deletion of your data
  • Export your data in standard formats
  • Withdraw consent for optional data processing

10. Cookies

We use minimal cookies necessary to operate the Service — primarily for authentication (session cookies). We do not use third-party tracking cookies or advertising cookies.

If we add analytics in the future, we will choose a privacy-respecting solution and update this policy accordingly.

11. Changes to This Policy

We may update this privacy policy from time to time. For material changes, we will provide at least 30 days’ notice via email. The “Last updated” date at the top reflects the most recent revision.
